About this template

When to use it

A one-page Certificate of Employment — the document that says a named person is currently employed, issued when a bank, an embassy or a landlord asks for proof. Under the title sit four cells: Certificate No. / Date of issue / Purpose of issue / Issuing department, sampled as HR-C-2026-0142, 2026-08-18, “For submission to a financial institution” and HR Team. Two sentences carry the legal weight of the page, and both are already written in: the restriction on use, and the closing certification.

Filling order

  1. 1. Personal details — name, date of birth, address. The lead line is the rule to work by: include only the minimum needed to identify the person certified. A resident registration number does not belong here.
  2. 2. Employment details — team and title, employment period, duties. The sample reads “Employment period April 1, 2021 to the present, currently employed”, which is the phrasing that makes this a certificate of employment rather than a certificate of career.
  3. 3. Purpose of issue and restriction on use — the purpose, then “This certificate may not be used for any purpose other than the one stated above“, then “This is to certify that the above person is employed as stated”. Neither of those two sentences should be deleted.
  4. Complete the three-cell block: Issued by / HR Team lead / CEO (company seal). Most recipients will not accept it without the company seal in the third cell.

Why the purpose line matters

The purpose appears twice on purpose — once in the header table (“For submission to a financial institution”) and once in section 3 as the more specific “Purpose of issue for submission in a bank loan review”. Naming the purpose is what limits the certificate: a document handed over for a loan review should not end up supporting a visa application, and the restriction sentence directly under it is what says so. It also keeps the employee’s data inside the reason they asked for it. If someone needs it for two things, issue two certificates rather than widening the wording.

The metrics table and the current title

The four cells under Key metrics read 2021-04-01, 5 years 4 months, Assistant manager and Employed, labeled start date, employment period, current title and status. “5 years 4 months” is counted to the issue date, so reissuing on a later date means recounting it — a stale figure here is the most common defect in these certificates. Where the person is on parental or other leave, the status cell needs saying explicitly rather than left reading Employed.

Keep an issue log

The certificate number in the header is there to be logged. Record the number, the issue date, who requested it, how it was collected, and any reissue — then a later query about which version is authentic has an answer. Where an error is found after issue, recall the copy before issuing a replacement, and give the replacement a new number rather than reusing the old one. Keep one file copy for the department alongside the original that goes out.

Common mistakes

  • Issuing this to someone who has already left. A leaver gets a certificate of career; this form certifies present employment.
  • Adding salary, evaluation scores or a reason for a leave of absence because the requester asked. Give what the stated purpose needs and nothing else.
  • Sending it out with the purpose line still reading the sample text.
  • Letting the header say one department and section 2 another after a transfer.
