About this template

What this document is for

A short in-house manual: three or four A4 pages on a newly deployed system or device. There is no cover and no table of contents – the label “User manual”, the title “User Manual Template” and the lead line start on page one – so it suits a quick guide for new hires or a feature-change notice, not a product manual of hundreds of pages.

Order of work

  1. Change the title and the grey lead line under it. They ship as “User Manual Template” and “Fill it in from the box contents and specifications through to warranty and support.”; put your own subject in, e.g. “Attendance System v2.4” or “Humidifier HM-340”.
  2. Fill the four info cells – Issue date, Prepared, Product, Document version. They ship as 2026-04-01 / Technical Writing Team / ○○ Service v2.4 / UM-2.4-01. The version marks the revision, so keep the shape and increment the tail.
  3. The three numbered sections ship as “1. What’s in the box and specifications” / “2. Setting it up” / “3. Basic operation”. For a physical product that outline works as is; for an internal system, swap in “1. Account setup and first login / 2. Daily use / 3. When something fails”.
  4. Each section is one grey lead line plus three bullets. One action per bullet.
  5. Fill the Key metrics table last. It is the only block after section 3 – there is no signature or approval row, so add one yourself if the document has to be signed off.

Example sentences

  • Bullet: “Log in with your 8-digit employee number and initial password 0000, then change it at once.”
  • Lead line: “Clock-in records close at midnight; later corrections need a team leader’s approval.”
  • Metrics: the table ships as “12 months / 5 min / 220V / 3.2kg” over “Warranty / Setup time / Rated voltage / Weight”. For an internal system it becomes “3 sec / 24 hrs / 2 people / v2.4” over “Auth time / Correction window / Approvers / Version”.

How the document is built

The Key metrics table is 2 rows by 4 columns and numbers go on top, labels underneath. Swap them and your captions land in the large display type. The info table at the head works the other way round – labels on top, values underneath. Section numbers are typed characters, not Word auto-numbering, so adding a fourth section means renumbering by hand. There is no figure or chart placeholder anywhere in the file, so a screenshot has to be inserted under a bullet with its caption typed manually.

What revisions miss

  • Adding text under the shipped bullets (“Product dimensions 340×220×48 mm”, “Set autosave to every 10 minutes”) instead of deleting them, leaving specifications that do not match your product.
  • Pasting a paragraph over the three bullets and losing the list format. Click an existing line and retype instead.
  • Revising the text but leaving the old issue date and document version, so nobody can tell which copy is current.
  • Putting safety warnings at the end. Add a section ahead of the existing three so the cautions come first.
